Guest Pass & Cancellation Policies

GUEST PASS & CANCELLATION POLICIES
Members are allotted (2) Guest Passes per month. Unused guest passes expire at the end of the month and do not carry over. Each guest can only use (2) guest passes, after which they must pay as a nonmember drop-in or purchase a membership.

COURT & RESERVATION CANCELLATION POLICY

We understand plans can change. Our cancellation policy is designed to be fair to our members and guests while allowing us to manage court availability effectively.

It typically involves a 24-hour notice for court rentals (offering account credit minus processing fees) and a longer window, like 48 hours, for lessons/clinics, while enforcing penalties like full charges for late cancellations or no-shows, often with a system for waitlists to fill spots. We employ a tiered approach, allowing occasional missed spots (e.g., 3 in 30 days).

All cancellations must be made through the OpenCourt app or by contacting the front desk during business hours.

COURT RESERVATIONS

  • Cancellations made 12 hours in advance of the scheduled reservation will receive a full account credit, minus processing fees.
  • Cancellations made within 12 hours of the reservation are non-refundable, as courts are held specifically for your time slot.
  • No-shows will be charged the full reservation fee.

OPEN PLAY SESSIONS

  • Cancellations made 6+ hours in advance will receive a full refund or credit.
  • Cancellations within 6 hours are non-refundable.
  • Late arrivals may forfeit their spot if the session is full.

LEAGUES, CLINICS & PROGRAMS

  • Cancellations 48+ hours in advance receive a club credit, minus processing fees.
  • Cancellations within 48 hours are non-refundable, except in the case of documented medical emergencies.
  • Once a league or program begins, no refunds will be issued for missed sessions.

PRIVATE EVENTS & COURT BUYOUTS

  • 7+ days’ notice: Full refund minus any non-refundable deposits (minus 3% processing fees).
  • 3–6 days’ notice: 50% refund (minus 3% processing fees).
  • Less than 72 hours’ notice: No refund.

WEATHER & FACILITY-RELATED CLOSURES

  • As an indoor facility, weather rarely impacts play. If Palace of Pickleball must cancel due to unforeseen circumstances, full credits will be issued.

TRANSFERS & SUBSTITUTIONS

  • Reservations may be transferred to another player if you’re unable to attend, provided they check in under your reservation.

MEMBERSHIP CANCELLATION POLICY

Your membership charge (monthly or annual) will not occur until one month or one year after the date you purchased the membership.

All memberships operate on an ongoing, recurring monthly billing schedule. Annual memberships may not be cancelled. Monthly memberships may be cancelled at any time up until next renewal date. It will not be pro-rated, refunded or reimbursed. 

Monthly Members may cancel their membership at any time by adhering to the following straightforward notice terms:
Standard 30-Day Notice: To cancel your membership and prevent future renewal charges, written notice of cancellation must be submitted at least thirty (30) days prior to your next scheduled renewal date. For example, if your membership renews on August 17th, written notice must be received on or before July 17th to avoid any further billing. Upon timely submission, your membership will simply expire at the conclusion of your current, active paid period with no additional charges.

Notice Provided Under 30 Days: If written notice is received fewer than thirty (30) days prior to your next scheduled renewal date, the subsequent scheduled monthly payment will process as planned. That charge will serve as your final payment, and your membership—along with full court booking privileges, programming eligibility, and facility access—will remain completely active through the conclusion of that final 30-day paid cycle.

No Cancellation Fees or Proration: There are no cancellation penalties or early termination fees. All processed monthly dues are non-refundable, and facility access is fully honored through the end of the paid term.
